AI automation

Automation that books, replies, reminds and reports while your team gets on with the work.

Most teams lose hours every week copying data between tools, chasing follow-ups and answering the same questions. We map where that time goes, then build automations and AI assistants that handle it reliably, with a person still in control of the decisions that matter.

What you can expect

  • Leads answered in minutes, not the next morning
  • Reports that assemble themselves from your existing tools
  • Clear logs of what every automation did and why

What we build it with

The tool is chosen by the job. Some flows belong in a no-code builder your team can read, some need code, and the parts that involve reading and judgement use language models with rules and a person around them.

n8n

An open-source workflow engine we host for you or run in the cloud. Our first choice when you want full control, complex branching and no per-task pricing.

Right whenThe workflow is business-critical, or volumes are high enough that per-task pricing starts to hurt.

Make and Zapier

Quick to build and easy for your own team to read, with thousands of ready-made connectors to popular apps.

Right whenThe flow is straightforward, or you want your team to see and adjust it themselves.

WhatsApp and messaging

The official WhatsApp Business API through WATI, Twilio, Gupshup or Interakt: approved templates, replies, broadcasts and a clean handover to a person, on a verified number.

Right whenYour customers already live on WhatsApp and expect an answer within minutes.

Voice and missed calls

Twilio, Exotel and MSG91 for call routing, missed-call capture, SMS and OTP, and call transcription that feeds your CRM.

Right whenEnquiries arrive by phone and too many of them are lost when nobody picks up.

Language models and documents

Claude and OpenAI for the parts that need reading and judgement: understanding a message, pulling fields from an invoice, drafting a reply. Always inside rules, with a person approving anything costly to undo.

Right whenThe work involves free-form messages, scanned documents or voice notes.

Custom code

Python and Node.js services when a tool has no connector, the logic is heavy, or data has to stay on your own servers.

Right whenYou have an unusual system, strict data rules, or logic that no-code tools cannot express cleanly.

A good place to start

Appointment booking that needs nobody to answer the phone.

For clinics, home-service teams, salons, consultants and coaches, booking is the busiest and most repetitive job in the week. We connect it end to end, so a customer can book at midnight and everything on both sides is already done by the morning.

  • Pick a slot anywhere

Customers choose a time on your website, WhatsApp or Instagram, and only see slots that are really free.

  • Calendar and Google Meet

The slot is held on Google Calendar, and video consultations get a Google Meet link created automatically.

  • Confirmations in seconds

A confirmation goes out on WhatsApp and email with the details and a reschedule link.

  • Reminders that cut no-shows

A reminder a day before and another a few hours before, with one tap to confirm or move.

  • Records kept for you

Every booking lands in your sheet or CRM, and an advance payment can be collected before the slot is confirmed.

  • Follow-up after the visit

A thank-you, a review request and a nudge to rebook, sent at the right time and stopped if the customer replies.

What we build

Sales and lead workflows

Capture enquiries from your website, ads and WhatsApp, qualify them, and route them to the right person with context.

Customer support assistants

AI assistants trained on your own documents that answer common questions and hand complex ones to your team.

Back-office automation

Invoices, order updates, document extraction and scheduled reports connected across your apps.

Automations we build

Booking with a Google Meet link

WhenA customer picks a time on your website, WhatsApp or Instagram

  1. Check the calendar so the slot cannot be double booked
  2. Create the event and a Google Meet link
  3. Send the confirmation on WhatsApp and email
  4. Add the customer to your sheet or CRM
  5. Send reminders and handle any reschedule

Bookings arrive at any hour and are fully handled before your team is awake.

Enquiries answered in a minute

WhenA call is missed, or a message or form arrives

  1. Reply straight away with the right next step
  2. Search your price lists and policies to answer common questions
  3. Save the enquiry with name, need and urgency
  4. Pass anything unclear or sensitive to your team with the full context

Nobody waits until tomorrow for an answer, and your team only sees the enquiries that need a person.

Reminders and no-show recovery

WhenAn appointment is a day away, or has just been missed

  1. Send a reminder with one-tap confirm or reschedule
  2. Free the slot and offer it to the waiting list if they cancel
  3. After a miss, send a polite message with new times
  4. Stop the sequence the moment they respond

Fewer empty slots, without a receptionist making calls.

Quote follow-up that never forgets

WhenA quote has been sent and three days pass with no reply

  1. Check the inbox and CRM in case they already replied
  2. Draft a short nudge that refers to the actual quote
  3. Hold it for your approval if the deal is large
  4. Send, then stop the sequence the moment they respond

Follow-ups keep happening in your busiest weeks, which is exactly when they normally stop.

Documents into records

WhenAn invoice, purchase order or delivery note arrives

  1. Read the file, including photographed and scanned pages
  2. Pull out supplier, items, quantities, tax and totals
  3. Check it against the original order and flag any mismatch
  4. Post it to your sheet or accounting tool

Data entry stops being a person’s evening job, and mismatches surface the same day.

The morning digest

WhenEvery working day at 8am

  1. Pull yesterday’s orders, enquiries and payments from each tool
  2. List today’s appointments and anything overdue
  3. Write a short summary in plain language
  4. Send it to WhatsApp or email before the day starts

One message replaces opening five dashboards, and unusual numbers get noticed early.

How one automation runs

An enquiry arrives, the assistant reads it, answers it when the source is clear or passes it to you when it is not, and every run is logged. Enquiry arrives WhatsApp, form, email Assistant reads it intent, urgency, value Clear enough? yes not sure Answered and recorded reply sent, CRM updated Passed to you with a draft and context Logged either way what it did and why
  1. Enquiry arrivesWhatsApp, form or email
  2. The assistant reads itintent, urgency and value
  3. Clear enough to answer?checked against your own documents
  4. Answered and recordedreply sent, CRM updated
  5. Or passed to youwith a draft and the full context
  6. Logged either waywhat it did and why
One example, drawn the way we plan them. The branch matters more than the speed: anything the assistant cannot answer from your own documents goes to a person, with the work already drafted.

How we work

  1. 01

    Audit one process

We sit with the people doing the work and follow a single process end to end: every tool it touches, every handover, every hour it costs in a normal week.

  2. 02

    Map before building

You get the workflow written down as it runs today, marked with what can be automated safely, what should stay with a person, and what the change is worth.

  3. 03

    Build in short cycles

The automation is built on your own accounts and tested against real cases from last month, so you can see how it would have handled work you already know the answer to.

  4. 04

    Watch it run

Every run is logged in plain language: what fired, what it decided and why. We monitor failures and adjust as your process changes.

Tools we use

Questions

Which tools can you connect?

Anything with an API or a structured export: CRMs, Google Sheets, accounting tools, WhatsApp, email, payment gateways and custom databases. When a tool has no API, we can often work from the files or emails it already produces.

What happens when the AI gets something wrong?

We assume it will. Anything expensive to undo waits for a person to approve it, steps that are unsure escalate instead of guessing, and every run is logged so you can see the reasoning and correct it. Automations start narrow and widen once you trust them.

Is our data safe with AI tools?

We design each workflow to send only the data a step needs, use providers with business data terms that exclude training on your content, and can run parts of the system on your own infrastructure where the data should not leave.

Do we have to change the tools we already use?

No. The point is to connect what your team already knows. We only suggest replacing a tool when it is the thing blocking the automation, and we say so plainly.

Who owns and runs it afterwards?

You do. Everything runs on your own accounts and keys, and you keep the workflows and documentation. Monthly care is available for monitoring and changes, but you are not locked into it.

How do we start?

With a short audit of one process. You get a written map of the workflow, the time it costs today and a fixed-scope plan to automate it. Most first automations are live within a few weeks.
